A gym check-in system should clear your busiest door in under 10 seconds per person, with nobody touching a keyboard. Kiosks, member apps, and QR codes each do that under different conditions. What follows compares door speed, ADA rules, real setup costs, and a two-week rollout that avoids a bad first week.

What does a gym check-in system actually have to do?

A check-in system does three jobs: prove entitlement at the door, keep the desk free for humans, and produce attendance data you trust.

Call it Door, Desk, Data. Most operators buy for Door and are surprised by Desk. If your staff type a member's surname into a search box, you are paying a person to act as a lookup table during the exact five minutes they should be greeting people and selling drop-ins.

The volume is not trivial. The Health & Fitness Association reported 81 million Americans held a fitness facility membership in 2025, and every visit any of them makes starts with a check-in.

Run the arithmetic on your own schedule. If 20 people arrive in the five minutes before a class, your desk has 15 seconds per person before the line eats into the class start. Typed lookup does not fit inside 15 seconds once you add a greeting.

Data is the part that pays for the system later. Attendance gaps are the earliest reliable churn signal you have, which is why at-risk member detection depends entirely on clean check-in records.

Which check-in method is fastest at the door?

Contactless tap and scan methods clear the door in under five seconds. A typed name lookup at a staffed desk takes roughly four times as long.

Door timings are internal medians observed across 140 fitness studios (Zatrovo studios, 2026).

The median is not the number that hurts you. The tail is. Measure your slowest arrival at 6:00pm on a Monday, not your average across a quiet Wednesday.

When is a tablet kiosk the right call?

Kiosks win when arrivals cluster around class starts and when members routinely turn up without a phone in their hand.

Pool decks, martial arts mats, and 6am strength sessions all produce phone-free arrivals. So does any studio where members leave bags in a car.

Here is the sizing rule. A 45-person 6am class checking in at six seconds each occupies a single kiosk for four and a half minutes of continuous queue. Add a second kiosk once you expect more than 25 arrivals inside a ten-minute window. Two tablets cost less than a season of coaches starting late twice a week.

Place the kiosk so the queue forms parallel to the wall, not across the door. A kiosk that blocks the entrance turns a six-second scan into a bottleneck.

When does a member app beat a kiosk?

Apps win when arrivals are spread across open hours, because the phone is already in the member's hand and it also holds the booking.

Set the geofence radius deliberately. At 100 to 150 feet, check-in fires in your lobby. At a quarter mile, members check in from the coffee shop parking lot and never come in.

Are QR codes safe enough for your front door?

Member-presented codes read by your own scanner are fine. A static QR poster taped in an unstaffed lobby is a genuine risk.

The FTC has warned that scammers cover legitimate QR codes with their own stickers in public places, using parking meters as the example. A laminated sign inside a 24-hour gym lobby with no staff after 9pm is the same attack surface.

If you must post a code, do three things. Laminate it so a sticker peels visibly. Print your full domain in plain text underneath, so a member can see where they are going. Add "check the QR sign for tampering" to the opening walkthrough, next to checking the mats and the water fountain.

What does ADA compliance require of a check-in kiosk?

Operable parts must fall within a 15 to 48 inch reach range, work with one hand, and need no more than 5 pounds of force.

The US Access Board's guidance on operable parts sets the unobstructed forward and side reach range at 15 to 48 inches, drops the maximum to 44 inches over an obstruction deeper than 20 inches, and prohibits controls that require tight grasping, pinching, or twisting of the wrist. You also need 30 by 48 inches of clear floor space at the approach.

The counterintuitive part: the tablet is rarely the violation. The violations are the card terminal bolted at chest height on a wall, the retail counter that puts the screen behind a 24-inch-deep obstruction, and the recycling bin someone parked in the clear floor space in week three.

What does a check-in setup actually cost to run?

Hardware is the small line. Redundancy, mounting, and the network drop are where the real budget goes.

Buy two tablets, not one. A mainstream consumer tablet runs a few hundred dollars, so check Apple's current pricing or the Android equivalent on the day you order. A spare costs less than one Saturday of a jammed door. Keep the second unit configured and charged in the office so a failure is a 90-second swap.

Then budget the parts nobody quotes: a locking enclosure, a floor or counter stand, a power run to the mount point, and a Wi-Fi access point within line of sight of the door. Studios with a metal-framed reception desk routinely discover the signal dies exactly where the kiosk lives.

If you plan to drive turnstiles or door releases, confirm the integration path before you buy hardware. That is a booking API integration question, not a shopping question.

How do you handle the four check-ins that break the door?

Four states cause almost every door incident: expired pass, failed payment, class full, and unrecognized person.

Use the Four Reds procedure. None of them blocks entry. All four get let through with a flag, and someone works the flag queue within four hours by phone or text.

Four hours matters. Contact the same day and the member remembers the class, is still in a good mood about it, and updates a card in one message. Wait until next week and you are having a debt conversation with someone who has already cooled off.

Script the greeting so staff never announce the problem out loud. "You're all set, I'll message you about one small thing later" is the whole line. Front desk teams need this rehearsed, which is why it belongs in front desk training rather than a policy document nobody reads.

What happens when the internet drops mid-class?

Your check-in system needs an offline mode and a paper fallback, plus a reconciliation step that catches the duplicates offline mode creates.

The failure most operators miss is on the way back up. A cached tablet and a phone app can both record the same arrival, and you end the week with a roster showing 34 check-ins for a 28-person class. Attendance data you cannot trust is worse than none, because you will make pricing and schedule decisions on it.

Test it deliberately. Once a quarter, pull the router for ten minutes during a quiet Tuesday session and walk the whole recovery: offline check-ins, sync, duplicate check, corrected roster. Keep a printed roster and a pen in the desk drawer, refreshed nightly at close.

Which check-in numbers actually change a decision?

Three metrics earn their keep: visits per member per month, days to first visit after signup, and any gap longer than 14 days.

A member who pays and never visits is not a quiet revenue base you can count on. They are a cancellation with a delay on it, and the check-in record is the only place you see the delay running out.

Set your thresholds and act on them mechanically. A new member who has not visited within 7 days of signing up gets a call, not an email. A regular whose gap crosses 14 days gets a text from their usual coach, by name and referencing their usual class time. Both rules only work if your check-in records are complete, which loops back to Door, Desk, Data.

How do you roll out a new system without a bad first week?

Use a Two-Week Parallel Run. Week one, both systems run together with a staff member standing at the kiosk. Week two, kiosk only.

Cut over on a Tuesday. Never Monday at 6am, never the first week of January, never the day a new term of kids' classes starts. Pick the quietest weekday session you have, and have the person who knows the software best physically present at the door for the first three sessions.

During week one, the staff member at the kiosk has one job: write down every arrival that did not work and why. That list becomes your standard operating procedure, and it belongs in the operations manual rather than in one person's memory.

Do not migrate historic attendance on cutover day. Do it the following weekend, when a mismatch is not also a queue.
